THE ROLE

Student Coordinator Permanent Role

ABOUT US

We are a well-regarded Registered Training Organisation (RTO) currently providing nationally recognised training courses in the Telecommunications and Data field. This is a perfect opportunity to join a rapidly expanding training organisation with opportunity expand and grow professionally with the company.

DUTIES

Your role is a Student Coordinator which includes but is not limited to achieving all training targets set by the organization and to understand and apply the relevant standards of the Australian Quality Training Framework (AQTF) in the delivery of services to clients.

Reporting to the Student Services Manager the position is a full time role and duties will include;

Position description

To ensure our national workshops are full with enrolled students by phoning to book in students and calling to confirm attendance prior to start dates.

Accountable for managing full qualification and Short Course students throughout the end to end administration process of the student’s life cycle with us and ensuring every element is 100% compliant

Main tasks

Core objectives include:

Filling Classrooms

· Work with Traineeship Coordinator to schedule in courses 6 months ahead

· Prioritise courses scheduled in the next 4 weeks and identify potential students who could attend.

· Work with our Marketing team to send MailChimp mails to potential students

· Call all potential students to book into class (call 4 weeks prior, 2 weeks prior and 1 week prior – circumstances change so one single call is not sufficient)

Student Management

· Ensure student documentation is entered into the SMS (aXcelerate) accurately

· Ensure that students receive all required training documentation including access to the LMS as per the Enrolment Procedure

· Monitor student progress through the LMS and record in the SMS

· Contact students and employers who are not meeting their progress requirements for the course

· Book students into courses based on their deliver schedules

· Maintain a record of student progress in the SMS

· Issue students with Certificates and Statements of attainment upon successful completion of the qualification.

Reporting

· Accountable for ensuring all information is 100% accurate and compliant

· Every student is sent a Learner Questionnaire and every employer is sent an Employer Questionnaire

Student Management System

· Ensure every contact with your student is logged onto aXcelerate – email, call, face to face within 1 day

· Ensure that all your student records are correctly updated and data entry is 100% accurate

· You are accountable for every stage of the student’s lifecycle being entered onto aXcelerate, from enrolment to issuing certificates

· Ensure that all results and attendance are entered within 7 days

· Certificates issued within 10 days of successful course completion and payment received

· Ensure that all staff and students are aware of the daily bookings and timetabling

· Ensure that all invoices are paid prior to the commencement of training;

· Ensure that attendance for each booking is entered within 7 days

General Administration tasks

· Answer phone calls

· Help answer student questions and enquiries

· Ensure all visitors to Comtech sign in and out

· Record accurately and distribute all messages to relevant staff in a timely manner

· Support Reception during busier periods

· Take payments from students

· Generate invoices for students

· Filing

Other Duties

· Fulfil other duties as reqiured by management and other department personnel as requested/required

Person Specification

Experience

· You have extensive RTO work experience desired
