Haileybury Rendall School is seeking an Executive Assistant to the Principal. This is a fulltime, permanent position commencing May 2021.

The Executive Assistant to the Principal provides high-level administrative and operational support to the Principal to help ensure excellence across the School. This important position has significant responsibilities and requires a high level of professionalism, organisational skill and initiative. All matters must be handled with the utmost confidentiality and sensitivity.

As the Principal’s representative, The Executive Assistant to the Principal will be expected to have a clear understanding of the current vision, strategy, values and goals of the School and be able to articulate them when required.

Responsibilities:

  • Manage the Principal’s daily calendar including organising and setting up meeting requirements and ensuring the Principal is prepared for the day and week ahead.
  • Manage and filter communications to the Principal and School by fielding all forms of incoming correspondence and taking appropriate action. Redirect stakeholders and information as appropriate.
  • Support the Principal with staff recruitment by advertising positions, collecting and filtering applications, setting up interviews and keeping appropriate documentation.
  • Support the Principal with appointment of new staff by making sure all HR processes are completed in a timely and accurate manner.
  • Maintain confidential staff and student files for the Principal.
  • Draft or prepare routine correspondence for Principal’s signature such as leaver’s forms, thank you letters, certificates and leave forms.
Key Selection Criteria:
  • Excellent written and verbal communication skills with the capacity to prepare and edit written reports.
  • Able to make sound judgements, coordinate activities and meet deadlines without supervision.
  • Strong time management skills with an ability to prioritise work, work autonomously and meet deadlines.
  • A basic understanding of project management methodology.
  • Initiative to seek improvements and extend the scope of the role in ways that will support and benefit the School and the Principal.
General Information:
Must be able to obtain an Ochre Card (Working With Children Card).
