Admissions Coordinator

The Senior Coordinator assesses complex applications by adhering to the admissions requirements, procedures and the service level agreements, meets the needs of our students, partners, staff and stakeholders and provides students with a path to the best possible academic success. He/she will support the team leader in training the team

Key Responsibilities:

General Admissions

  • Act as a subject matter expert (SME) and key point of contact within the Admissions team (usually within a specific market) to internal stakeholders
  • Contribute to and take responsibility for key Global Admissions projects
  • Process more complex student applications (or cancellations) and related materials according to specialised subject matter expertise in order to meet Service Level Agreements (SLAs), primarily being Assessment, Acceptances, Confirmations and student Visa processing
  • Conduct evaluations of international credentials, calculate appropriate metrics and make decisions regarding admissibility and eligibility for any Higher Education programme
  • Ensure that applications and emails that require specific SME knowledge are quickly triaged and managed to ensure SLA’s are met
  • Comply with all regulations and policies related to Admissions
  • Highlight special cases which may result in breach of SLAs
  • Process financial matters related to Visa, booking cancellation
  • Lead induction and training (including workshops) to ensure new staff are appropriately skilled


  • Be a senior point of contact for recruitment/sales team/partner agents and other external stakeholder as required during the Admissions process, as well as liaising with internal stakeholders to resolve issues as required
  • Be a point of escalation and follow up for emails from agents and sales team

Customer Service

  • Maintain superior customer service with all stakeholders.


  • Identify, recommend and contribute to the development of improvements to admissions policies and processes and systems.

Data Collection

  • Ensure students records and data in systems are well maintained and accurate
  • Ensure collection of all outstanding admissions documents from applicants or university partners

System use

  • Methodical use of systems (including Study Global, Pega, SMS) in order to accurately capture information and to ensure applications are processed appropriately
  • Support system testing


  • Participate in admissions team meetings and university admissions working groups as required.


  • Act as a deputy during periods of absence of the Team Manager/Leader
  • Take a lead role on specific requirements within the team as directed by Team Manager

Selection Criteria:

Qualifications & Training:

  • Completion of a diploma level qualification or equivalent
  • Microsoft Office and navigating various databases
  • IT Literacy – working knowledge of all Microsoft Office products
  • Fluent in written and spoken English
  • Good standard of literacy and numeracy
  • Excellent customer service skills
  • Strong level of attention to detail, and able to follow detailed processes


  • Some professional work experience in a high volume, transactional SLA driven environment such as a shared service or call centre
  • Some professional work experience within Education / Admissions or Customer Care
  • Some experience of providing technical work support to peers
  • Working in a high volume environment
  • Experience in the international education sector
  • Experience assessing applications for admission
