JOB DESCRIPTION

Australian Institute of Management is a respected training provider and thought-leader on current developments, emerging trends and critical issues in the Australian leadership industry. 

We currently offer more than 70 short courses in management and professional development, as well as a range of nationally recognised qualifications. 


This role can be either part time or fulltime opportunity.


This role will suit those who have previous government funding, compliance, data quality and RTO administration experience and who have worked within an RTO or similar business. The role will liaise with internal and external stakeholders, customers and government departments to support students (including apprentices and trainees), towards successful course completion outcomes whilst maintaining business viability in offering government funded programs to students. 


You will be required to:

  • Manage internal and external stakeholder relationships/communications and proactively be responsible for government funded business opportunities to ensure AIM is at the forefront of funding availability and a leading RTO in this space.


  • Accurately and efficiently use government student data systems to process student data, including apprentice and trainee enrolments, and comprehensive training activity documentation.
  • Develop detailed reports and processes that will aid in making informed decisions about student training activity within the RTO ensuring viability of funding opportunities for the business.
  • Communicate, as required with students, employers, and apprenticeship centres in relation to student training activity; including providing updates in relation to the progress of students undertaking an apprenticeship or traineeship.
  • Engage students and manage progression against the training plan both monthly and at completion of each unit of competency to ensure progression requirements are met.
  • Review student training activity, including apprentice and trainee training activity and work with the education teams to ensure all evidence of participation is accurately demonstrated within student files and is accurately reported within the student management system.
  • Manage available funding opportunities effectively to ensure viability to the RTO and communicate opportunities to the sales teams.


  • Liaise with the sales team to ensure they are trained in the processes required to sell and deliver funded programs including enrolment, progression and completion of training and the associated legislative requirements.


  • Prepare and submit state specific AVETMISS and RTO compliance reports as they relate to traineeships and their relevant portals, to meet all requirements. 


Qualifications & Experience required


  • Operational knowledge of the Standards for Registered Training Organisations (RTO’s) 2015, knowledge of the Australian Qualifications Framework (AQF); Australian Quality Training Framework (AQTF), particularly in relation to student progress and data reporting.
  • Demonstrated operational knowledge of requirements in relation to government funding contractual obligations and particularly those in relation to apprenticeship and traineeship students and state-based funding models.
  • Proven ability to effectively work within a customer service environment preferably within the VET sector;
  • Strong data quality and administration experience, including a proven record of meeting and exceeding targets/KPIs;
  • Experience using Paradigm, Salesforce or similar CRM.
  • Experience in reporting through DET Connect, EPSILON, WAAMS, STS NSW, Skilled Capital and Skills Tasmania and Smart and Skilled portals.
  • Knowledge of legislation and expectations of NSW, VIC, WA, QLD, TAS, and ACT Traineeships including experience in responding and submitting any required documents to each state training as it relates to traineeships.
