Position Summary:

Reporting to the Associate Registrar, Financial Aid and Scholarship/Bursary Plans, the incumbent responds to email, and verbal/telephone enquiries regarding all government, private and college funded financial assistance programs administered through the College’s Financial Aid Office. Assists students with completion of application forms; data input of applications to the MCU OSAP on-line system; with building and maintaining student files; with checking and informing students of the status of their applications; with disbursement of financial aid funds and other internal Financial Aid processes.


Front Line Services

  • Provides College and Financial Assistance programs information to students, College staff and members of the greater college community.
  • Advises students with completing application forms for financial assistance for: federal and provincial loans, government bursaries, college and external donor scholarships, bursaries and awards.
  • Responds to email and verbal/telephone inquiries regarding all government, private and college funded financial assistance programs administered through the College’s Financial Aid Office.
  • Responds to student inquiries regarding the status of their application for financial assistance; investigates and resolves anomalies and discrepancies that result in delays in application processing.

Problem Solving

  • Resolves problems related to either unusual applicant/student circumstances or school/financial aid program needs; determines those extenuating cases that require referral to a Financial Aid Advisor for specialized counselling and documentation.
  • Completes research and determines inconsistencies in student records between the MCU and Seneca to resolve Ontario Education Number error reports.

Other Financial Aid Duties

  • Authorizes Confirmation of Interest Free Status within Ministry Colleges and Universities and departmental guidelines.
  • Assists with data entry of applications, corrections of errors, changes to student files to the Ministry OSAP on-line system.
  • Responsible for filing, mail managementand general paperwork for the Financial Aid Office
  • Builds and maintains applicant files: ensures appropriate documentation is submitted with applications.
  • Checks students’ status – registration and entitlement eligibility – prior to distribution of loans to eligible students.
  • Represents the Financial Aid Office at college-wide special events such as orientation, open houses and at external college events when appropriate.
  • Provides clerical support to Associate Registrar, Coordinator and the FAO team as required including awards processing and adjudication.
  • General data review, correction and entry.
  • Assists with other general office duties, as assigned.



  • Completed two (2) year diploma in Business, Finance, Office Administration or related field. If in a related field, state how education is relevant.


  • Minimum of two (2) years’ work experience in a Student Financial Aid office or work experience in a complex, customer service driven computerized office setting is required.
  • Minimum of one (1) year recent experience demonstrating sound knowledge of policies and procedures governing the Ontario Student Assistance Program; familiarity with regulations and objectives of each sub-program.


  • Demonstrated advanced reading, writing and math skills.
  • Demonstrated ability to maintain confidential information.
  • Demonstrated knowledge of process and procedures for applications relating to scholarship, bursaries and awards available to students.
  • Ability to analyze, organize, execute and control complex procedures while utilizing and interacting with a sophisticated student information system and Ministry on-line system.
  • Experience with micro-computer software applications MS Excel and MS Word and on-line systems (College student registration & Ministry OSAP, One-Key and Financial Aid Peoplesoft Module). Data entry keyboarding skills at 45 wpm minimum.
  • Well-developed interpersonal, customer service and communication skills (verbal and written) to interact effectively with multi-cultural/racial/able students, staff and the public are required.

Note : This position may require medium physical effort, lifting 5-20 kg/11-44 lbs. A skills assessment will be administered during the recruitment process.
