The Personal Assistant to the Director of Business and Director of Finance is appointed by and directly accountable to both. The successful candidate will be required to work collaboratively with all Padua College staff as well as key internal and external partners to the College.

STATEMENT OF DUTIES

The following duties are aligned to the Personal Assistant's major areas of responsibility:

  • Provide a high level of professional, practical and timely support to both Directors and members of the College Improvement Team in their day to day responsibilities
  • Administrative and organisational assistance to the Directors as needed
  • Coordination of the Directors diaries in conjunction with the Principal’s and Vice Principal’s Personal Assistants
  • Prepare and print electronic materials for distribution to key stakeholders as required
  • Prepare high quality documentation such as confidential reports, correspondence, including ‘first drafts’, where necessary
  • Coordinate effective meetings by organising and collating meeting agendas, providing confidential minute taking and distribution and coordinating follow up actions, including room and resource bookings
  • Schedule regular and incidental meetings as requested
  • Ensure appropriate purchase orders for resources are completed and payment of all invoices is authorised
  • When required, assist in other administration tasks for other areas of the school as directed by members of the College Improvement Team
  • Support Director led project administration and event coordination
  • Support Directors in the development and maintenance of key policies and procedure documents ensuring all key processes are maintained as current and up to date
  • Provision of research, data collation, performance benchmarking and insight analysis as directed
  • Coordination of maintenance of project plans
  • Involvement in strategic procurement including identification of key partners and review of tender documents and other materials
  • Schedule and coordinate staff/departmental meetings within Directors remit
  • Conduct research and compile background information for meetings, anticipating actions needed in advance
  • Email and correspondence management
  • When required, assist in other administration tasks for other areas of the school as directed by members of the College Improvement Team
