Training and Compliance Administrator

This role has responsibility for coordinating and maintaining quality assurance and compliance status of the RTO. Your success will be underpinned by your deep understanding of key RTO principles and your ability to build effective relationships and negotiate desired outcomes to achieve set objectives.

Skills and experience
  • TAE40116 Certificate IV in Training and Assessment is essential with a minimum of 5 years RTO experience
  • Understanding of compliance requirements for the VET sector, operational ASQA guidelines and RTO compliance requirements.
  • Experience in managing systems and procedures in an RTO environment and maintaining a Student Management System, preferably aXcelerate
  • Strong knowledge and application of the packaging rules for qualifications, units of competency and qualification pathways including recognised prior learning, full delivery or blended delivery models.
  • Ability to work autonomously to undertake compliance for an RTO including student file audits, mapping of training package material and knowledge of training and assessment rulings
  • Ability to solve problems by recommending and implementing changes to improve the quality of training and assessment outcomes for all students and develop remedial action where required
  • Ability to balance both compliance and business needs

  • Assessment validation activities are planned annually, and improvements arising from this activity are planned, implemented, monitored and reviewed.
  • Internal audits are conducted at least annually or as required, and that findings are acted upon.
  • Ensures records are protected and maintained as described in the RTO’s procedures.
  • Ensure that all trainers and assessors have the appropriate qualifications and experience required before delivering any courses listed under the scope of registration.
  • Continuous improvement processes are planned, implemented, monitored and reviewed as described in the RTO’s procedures.
  • Procedural manuals are reviewed annually and updated regularly.
  • Ensure that the company and its employees are, at all times, delivering training and assessing to the correct unit of competency and National Assessment instruments.
  • Update all staff on regulatory changes and ensure the procedures and policies are updated to match.
  • Student records are maintained as per National Regulators requirements.
  • Oversee notifications of assessment and ensure notifications are compliant to the RTO conditions.
  • Complaints and appeals are managed according to the RTO’s documented procedures.
  • Responsible for conducting audits on trainers records. 
  • review newsletters from licensing-related bodies and from the National Regulator and other bodies as they become available, and update regulations into processes, procedures and course information as necessary.
  • Maintain the student enrolment register within Axcelerate and all associated enrolment information
  • Carry out thorough and detailed checking and filing of RTO documentation
  • Develop and administer training plans and coordinate training resources
  • Scheduling and collation of client requirements including learner guides and information packs
  • Coordinating the day to day inputs and outputs of Axcelerate to manage all training data
  • Superb administration, Microsoft Office, organisation and time management skills
  • Organise training venues, logistics and external suppliers as required to achieve efficient training attendance and delivery.
  • Prepare Certificate, Statements of Attainment & Completion Letters
